'How often should we clean?' is the first budget question every office manager wrestles with — and the answer depends on far more than square footage. Headcount, foot traffic, industry, restroom count, and even air quality all factor in. This guide gives you a defensible frequency framework so you can build a program that's actually right-sized for your office.
The Frequency Framework
Every office task falls into one of four buckets: daily (or every visit), weekly, monthly, or quarterly-plus. What changes by business type is how many nights per week those 'every-visit' tasks get executed.
Recommended Frequencies by Business Type
Small Professional Office (Under 10 Staff)
2x/week service is typically sufficient. Restrooms and kitchens get attention twice weekly, workstations cycled through, and trash removed every visit. Total monthly cost usually lands under $700.
Mid-Size Office (10-50 Staff)
3x/week is the sweet spot. This lets restrooms and shared kitchens stay ahead of use without over-servicing. 5x/week becomes justified if the office hosts frequent client meetings or has heavy print-and-supply areas.
Large Office (50-200 Staff)
5x/week (nightly) service. Restrooms and kitchens can't stay sanitary on less at this headcount. Some facilities add a daytime porter for restroom restocking and lobby coverage.
Enterprise Office (200+ Staff)
Nightly service plus daytime porter coverage. Multi-floor facilities often add dedicated floor-specific crews and 24-hour restroom monitoring.
Client-Facing Retail Adjacent Office
Nightly service is minimum. Lobbies, glass, and restrooms are brand touchpoints — treat them accordingly.
Signals That You're Cleaning Too Little
- Employees complain about restroom conditions before noon.
- Kitchen trash overflows before the next scheduled visit.
- Visible dust builds up on horizontal surfaces within a week.
- Carpets show traffic paths within 30 days of extraction.
- You get 'is the cleaner still coming?' emails.
Signals That You're Cleaning Too Much
- Restrooms are already spotless when the crew arrives.
- Trash cans are less than 25% full at pickup.
- The scope-of-work checklist has tasks the crew skips because nothing is dirty.
